            Job Full Description
            
            We are currently recruiting for an Administrative Assistant role in Coquitlam. This is a Full-Time & Permanent role at a large sheet metal & steel distributor. Estimated start date is October 2025, but may be sooner for the right fit.
Requirements:
- 5+ years of administrative support experience to both Sales and Shipping/Receivable departments
 
- Well-versed in some basic bookkeeping: invoicing and Accounts Receivables
 
- Fluent in working in an office from the industrial background
 
- Team player, open and willing to help all departments administratively
 
- Proficient in MS Suite (Excel, Word, Outlook)
 
- Ability to prioritize tasks & meet deadlines in a fast-paced environment
 
- Excellent communication skills: written & verbal as you will be dealing directly with clients
 
- References & BG check will be conducted upon further consideration of a candidates
 
Duties:
- Provide administrative support to the Shipping & Receiving Department, including preparing and processing shipping documents, coordinating with carriers, and maintaining accurate records
 
- Assist the Sales Department with order entry, preparing quotes, generating invoices, and maintaining customer files.
 
- Support the Logistics Department by tracking shipments, scheduling deliveries/pickups, and communicating with vendors and customers regarding logistics inquiries.
 
- Oversee Accounts Receivable (A/R), including processing payments, issuing statements, monitoring overdue accounts, and managing collections activities.
 
- Answer and direct incoming phone calls; respond to customer inquiries in a professional and timely manner.
 
- Prepare and maintain spreadsheets, reports, and filing systems to support daily operations across departments.
 
- Collaborate with internal teams to ensure smooth coordination of orders, shipments, and customer satisfaction.
 
- Perform general office duties such as data entry, filing, scanning, and handling correspondence.
 
- Support management with ad-hoc administrative tasks and special projects as needed.
