We are currently recruiting for an Administrative Assistant at a large construction contractor in Port Coquitlam. The Administrative Assistant will help keep multiple departments — including Safety, Accounts Receivable, and General Office — on track and operating efficiently.

This is a new role for their team, designed to provide high-level administrative support to the Operations Manager and the broader team during a period of organizational transition as a Contract Full-Time role of 6 months, starting ASAP.

Requirements:

  • Proven 5+ years of experience in administrative support within construction/industrial industries is preferred.
  • Strong proficiency in Microsoft Excel (including formulas) and MS Suite: Word & Excel (creating formulas)
  • Knowledge of Sage 100 and basic accounting principles an asset.
  • Highly organized, detail-oriented, and reliable self-starter.
  • Excellent multitasking and problem-solving abilities.
  • Strong communication and interpersonal skills.
  • Demonstrated maturity, professionalism, and discretion

Duties:

  • Provide day-to-day administrative support to the Operations Manager and other departments (Safety, Accounts Receivable, and Office Administration).
  • Meet with the Operations Manager (Brittany) approximately 3 times per week to review task lists and priorities.
  • Coordinate and confirm internal and client meetings; manage scheduling and calendar updates.
  • Make basic client calls related to Accounts Receivable and follow up on outstanding items.
  • Perform accurate data entry and assist with record maintenance and filing systems.
  • Submit required documentation and forms (e.g., WCB, safety compliance).
  • Utilize and maintain information in Sage 100; basic accounting knowledge considered a strong asset.
  • Assist in streamlining processes and identifying efficiency improvements across departments.
  • Maintain confidentiality and professionalism in handling sensitive information.
  • Support ongoing organizational transitions and help “keep the plates spinning” across multiple tasks and priorities.
