Job Title: Event Coordinator
📍 Location: Niagara Falls, ON
🕒 Full-Time | In-Office
📅 Coordinate 5–12 major events per year
About the Role
We are seeking a proactive and highly organized Event Coordinator to join in-office team in Niagara Falls. In this role, you'll support the planning, logistics, and execution of 5–12 large-scale events each year. From coordinating vendors and managing timelines to ensuring everything runs smoothly on event day, you'll play a key part in creating memorable experiences that reflect our brand and exceed expectations.
What You’ll Do

Coordinate Events: Assist in the end-to-end planning and execution of events, including logistics, permits, inspections, security, and vendor management.

On-Site Support: Be present at events to support set-up, breakdown, and live coordination to ensure everything runs on time and according to plan.

Vendor Communication: Help manage vendor relationships, obtain quotes, schedule services, and confirm deliverables.

Budget Assistance: Track and report on event expenses, assist in managing budgets, and ensure cost-effective decision-making.

Administrative Support: Handle contracts, permits, schedules, invoices, and general coordination tasks in the office.

Brand Consistency: Help maintain consistent branding across all touchpoints and create Positive Shareable Experiences (PSEs!) that engage audiences.

Reporting: Collect feedback, track event KPIs, and assist in creating post-event reports with performance insights.

Sales & Outreach Support: Help identify new event opportunities, assist in preparing proposals, and support business development efforts.

Liaise with Stakeholders: Maintain consistent communication with plaza management, city partners, and other stakeholders throughout the planning process.
What Our Client is looking for:

1+ year of experience in event coordination, hospitality, or a related field

Strong organization and time management skills

Excellent communication and interpersonal abilities

Detail-oriented with the ability to manage multiple priorities and deadlines

Comfortable using Google Suite (Docs, Sheets, Calendar, etc.)

Positive, flexible, and team-oriented attitude
-
Able to work full-time in-office and on-site at events (including occasional evenings/weekends)
Bonus Points For:

Experience with event permits or working with municipal partners

Familiarity with CRM tools or event planning software

Knowledge of local venues and vendors in the Niagara region
