Express Employment Professionals – St. Catharines is currently looking for a  Business Administrator for a long-standing and reputable Niagara Region client. This role is essential to ensuring the efficient and effective day-to-day operations of assigned departments. The successful candidate will also support onboarding and the training of new staff and act as a liaison for administrative matters.

Key Responsibilities:

Administrative Support

  • Provide administrative assistance including mail processing, filing (electronic and manual), word processing, spreadsheets, presentations, data entry, and minute-taking
  • Respond to telephone calls, emails, and inquiries; direct messages and provide information as appropriate
  • Prepare, process, and maintain correspondence, records, court documents, verification documents, and payments
  • Support audits, reviews, and reporting processes (e.g., licensing, ministry reports, audits)
  • Photocopy, collate, and distribute documents and files
  • Maintain forms, manuals, and departmental documentation
  • Order and manage office supplies

Meetings & Scheduling

  • Coordinate meetings, appointments, and training sessions, including logistics and materials
  • Prepare and distribute agendas and meeting documentation
  • Arrange travel and transportation as needed
  • Maintain team calendars, schedules, and coverage plans

Data Maintenance

  • Create and maintain filing and tracking systems
  • Manage confidential records and documentation
  • Input and maintain database information and generate reports
  • Maintain address books, mailing lists, and internal logs

Team Support & Collaboration

  • Build professional relationships with team members
  • Participate in team meetings, training, and organizational initiatives
  • Support onboarding and training of new staff
  • Provide backup support to other administrative roles as needed

Additional Duties

  • Provide basic technical support for office equipment and software
  • Assist in planning events and activities
  • Manage petty cash where applicable
  • Ensure compliance with organizational policies and the Occupational Health and Safety Act
  • Contribute to continuous improvement and quality service delivery
  • Perform other duties as assigned

Qualifications:

  • Post-secondary diploma in Business (Office Administration or related field)
  • Minimum one (1) year of recent, related experience
  • Valid G Driver’s License and access to a reliable vehicle with appropriate insurance

Skills & Attributes:

  • Strong proficiency in Microsoft Office (Word, Excel, etc.) with typing speed of 50 wpm
  • Familiarity with systems such as Laserfiche, Access, Lotus Notes, CaseWorks, and CPIN is an asset
  • Excellent written, verbal, and interpersonal communication skills
  • Strong attention to detail with excellent grammar and spelling
  • Ability to multitask and prioritize in a fast-paced, high-volume environment
  • High level of integrity and ability to maintain confidentiality
  • Strong organizational and time management skills
  • Flexible, adaptable, and responsive to change
  • Ability to meet tight deadlines and take initiative
  • Bilingualism (French or other languages) is considered an asset

Working Conditions:

  • Office-based environment with extended periods of sitting and computer use
  • Frequent interruptions and high-volume workload
  • Occasional travel within the region
  • Occasional lifting (up to 10 lbs)
  • Work schedule may include weekdays, evenings, and weekends

Schedule – Monday to Friday 8:30am to 4:30pm or 9:00am to 5:00pm (33.75 hrs. weekly)

Wage: $28.30/hour
