Job Full Description
The Travel Operations Manager is responsible for ensuring that all customer service policies and procedures are
established and met to support the business and our clients mutually agreed upon travel, meeting
and conference programs. The role has the authority to oversee and implement these policies and procedures
effectively.
The scope of this position includes:
- Negotiate and contract hotel group rates, including function and meeting space requirements.
- Research and access new destinations and amenities as required.
- Coordinate, manage, negotiate, and contract off-site events and/or activities for groups, including tours, dine-
arounds and Corporate Social Responsibility (CSR) initiatives.
- Coordinate and manage food & beverage, theme parties, meetings, and conventions for groups at selected
destinations.
- Plan and coordinate on-site logistics, including audio visual, lighting, décor, and other meeting needs
- Coordinate and manage group arrivals and departures.
- Source, negotiate, and contract Destination Management Company (DMC) services as needed.
- Coordinate and manage hotel check-in/out procedures, room allocations, and special requests.
- Oversee and follow-up of group registrations for programs.
- Provide assistance to other team members with group programs as required.
- Coordinate group travel insurance and provide a link to a 3rd party provider.
- Package and ship ticket wallets with all pertinent and time sensitive materials.
- Track and process payment requests with the finance department.
- Invoice participants for non-group related activities.
- Manage participant extensions and deviations from the group itinerary.
- Record, track and reconcile group related expenses.
- Maintain program profitability, including conducting Pre-Cost and Post-Cost analysis.
- Organize and set up of the electronic travel documents for On-Site Manager.
- Liaise with the Creative Department to support promotional materials and collateral.
- Maintain timely and professional communication with clients by phone, email, or visual.
- Travel with the group to the selected destination when required.
- Participate in client site inspections when required.
- Conduct pre- and post-conference meetings and prepare related documentation.
- Create and distribute post-program surveys to participants when required.
- Oversee and support the development of travel materials (ie. Booklets, Apps).
- Manage supplier payment schedules.
-Collaborate with the Accounting Department when needed to assist with payment tracking and follow-up
(note: invoicing and collections are primarily the responsibility of Accounting).
- Create and manage the Creative Production & Pricing Schedule with the assigned Graphic Designer.
- Perform all other duties as required.
PREFERRED QUALIFICATIONS
Office Administration certificate and/or experience working as a travel consultant, event co-ordination or as otherwise
approved by the Chief Executive Officer. Excellent working knowledge of the Microsoft Office software (Excel, Word, Outlook,
Teams, SharePoint, PowerPoint). CMP and/or CMM Designations once qualified are required and preferred. Company paid
Emergency First Aid Certification requirement. Valid Canadian Passport is required. Must be very organized, detail oriented,
and manage multiple priorities effectively. Strong customer service oriented with a proactive, solutions-based approach. Ability
to prioritize effectively to meet set schedules and timelines. Knowledge and Experience in Sabre and FileMaker would be an
asset.
