Express Employment Professionals is seeking a dynamic and detail-oriented Administrative and Marketing Coordinator on behalf of our esteemed client located in Guelph. Purpose of the Role:

As the Administrative & Marketing Coordinator, you will be instrumental in providing crucial administrative support to the CEO and the Marketing & Communications team. This role offers a diverse workload, with approximately 70% of your time dedicated to administrative tasks for the CEO and 30% focused on supporting marketing initiatives. Occasional support for other members of the Senior Leadership Team may also be required.

Compensation:

$55,000 per year, full benefits, 6% RRSP employer contribution, paid vacation. 

Responsibilities:

Administrative Support:

  • Efficiently manage the CEO's schedule, appointments, and calendar.
  • Handle incoming and outgoing mail correspondence with professionalism.
  • Coordinate and book travel arrangements for the CEO and Marketing team.
  • Maintain organized records and files, both digital and physical, ensuring easy access and retrieval.
  • Prepare professional reports, presentations, and other essential documents.
  • Manage office supplies, including ordering and inventory tracking.
  • Provide support with budgeting and expense tracking processes.

Coordination & Communication:

  • Facilitate seamless communication between various departments, external parties, and partners.
  • Coordinate meetings, events, and travel logistics effectively.
  • Serve as a primary point of contact, addressing inquiries and requests promptly and professionally.

Marketing Support:

  • Assist in the planning and execution of marketing projects.
  • Track project progress, ensuring adherence to timelines and deadlines.
  • Support the Marketing Specialist with both digital and in-person marketing initiatives.
  • Generate insightful results reports for the Marketing team.
  • Attend occasional tradeshows and events within Ontario.

Perform other duties as assigned to ensure the smooth operation of the office and marketing functions.

Qualifications:

Characteristic and Ability Requirements:

  • Exceptional written and verbal communication skills.
  • Proven ability to build strong working relationships and liaise effectively with internal and external stakeholders.
  • Outstanding organizational skills with the capacity to manage multiple projects simultaneously.
  • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and the ability to work independently with minimal supervision.
  • Solid analytical thinking and decision-making skills.
  • Ability to maintain strict confidentiality.
  • Superior organizational skills with a proactive approach.
  • Bilingualism in French and English is considered a valuable asset.

Educational and Training Requirements:

  • Required: Bachelor’s degree or diploma in Marketing, Communications, Business Administration, or a related field.

Work Experience Requirements:

  • Required: Minimum of three (3) years of progressive experience in an administrative role, with exposure to marketing and/or event planning responsibilities.
  • Required: Minimum of three (3) years of job-related experience in a similar coordinator role.

Technical Requirements:

  • Software: Advanced knowledge in Canva, Microsoft 365, Google Ads, and Facebook Ads.
  • Equipment: Proficient in using computers and related office equipment.
  • Others: Familiarity with digital, online, and virtual platforms.
