Executive Assistant / Client Experience Manager

Express Employment Professionals is recruiting an Executive Assistant / Client Experience Manager (EA & CEM) for a well-established wealth management practice in Grimsby, Ontario. This is a highly trusted, detail-driven role supporting senior advisors, client administration, and overall client experience.

What You’ll Be Responsible For

Executive & Client Administration

  • Daily processing and tracking of client transactions (buys, sells, transfers, rebalances, redemptions)
  • New account openings (individual, corporate, nominee accounts)
  • External transfers, pension-related paperwork, DCPP/DPSP transfers
  • Preparing and managing client documentation (KYC updates, beneficiary changes, CRA authorizations, advisory fee changes, etc.)
  • Managing and maintaining accurate client records and master lists
  • Documenting meeting notes and tracking next steps
  • Monthly and quarterly administrative closing tasks and reporting

Client Experience Management

  • Acting as a key point of contact for client inquiries (email and administrative support)
  • Coordinating onboarding and transfer-in / transfer-out processes
  • Supporting clients with online access and account navigation
  • Handling tax slip inquiries and coordinating information with tax professionals
  • Monitoring and addressing service or operational requests from head office
  • Providing backup support to administration during absences

Appointment & Meeting Coordination

  • Booking and confirming client appointments
  • Sending Teams meeting invites and coordinating meeting logistics
  • Managing room bookings and schedules

Marketing & Practice Support

  • Coordinating head-office sponsored events (webinars, client dinners)
  • Supporting practice marketing initiatives and events
  • Maintaining marketing, client interest, and event tracking spreadsheets
  • Assisting with website content updates and client communications
  • Supporting client appreciation initiatives for top-tier clients
  • Sending bulk client communications on behalf of the advisor (articles, videos, updates)

What We’re Looking For

  • Previous experience as an Executive Assistant, Client Service Associate, or Office Manager

(financial services, wealth management, insurance, or professional services preferred)

  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • High level of discretion and professionalism with confidential information
  • Comfortable managing multiple priorities and deadlines
  • Strong technical skills (MS Office, spreadsheets, document management systems)
  • Experience creating or editing fillable PDFs is an asset
  • Familiarity with financial services processes is an asset (training provided)
