About the Role
We are seeking a highly organized, professional, and proactive Executive Assistant to provide high-level administrative and strategic support to two CEOs within two dynamic, fast-paced organizations. This role is critical to ensuring smooth executive operations, effective communication, and seamless coordination across multiple business entities.
The ideal candidate is a trusted partner who thrives under pressure, manages competing priorities with ease, and handles sensitive information with absolute discretion. Occasional support to other members of the Senior Leadership Team may also be required.
This is a hybrid role, with in-office presence in Guelph, ON for meetings and events, and flexibility to work from home when appropriate.
Key Responsibilities
Executive & Administrative Support
- Provide high-level administrative support to two CEOs
- Manage complex calendars, scheduling, and shifting priorities
- Act as a gatekeeper, screening and prioritizing communications
- Prepare agendas, reports, presentations, and professional correspondence
- Attend board and leadership meetings; record minutes and track action items
- Handle confidential and sensitive information with discretion
Coordination & Communication
- Serve as a key liaison between executives, internal teams, board members, and external stakeholders
- Coordinate in-person, virtual, and off-site meetings
- Organize conferences, events, and leadership meetings
- Ensure timely follow-up on executive action items
Travel & Logistics
- Arrange domestic and occasional international travel
- Coordinate meeting venues and logistics
- Prepare and submit expense reports
Project & Strategic Support
- Conduct research and compile information for executive decision-making
- Assist with special projects and organizational priorities
- Support reporting and data organization initiatives
Systems & Organization
- Maintain organized digital and physical filing systems
- Advanced use of Microsoft 365, Zoom, scheduling, and collaboration tools
- Support social media and online platforms as required
Qualifications & Experience
- Minimum 3 years of experience supporting senior executives in an Administrative or Executive Assistant role
- Proven ability to support multiple executives with differing needs
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- Highly professional, polished, and articulate
- Proactive, resourceful, and able to work independently
- Strong judgment with excellent problem-solving abilities
- Comfortable working in a fast-paced, high-accountability environment
Education
- Diploma or Bachelor’s degree in Business Administration, Office Administration, or a related field preferred
Additional Requirements
- Valid driver’s license and reliable vehicle
- Ability to attend in-office meetings and events in Guelph
