Position Overview
We are on the hunt for a rockstar Administrative Receptionist & Bookkeeper! If you're someone who loves numbers and people, this hybrid role is made for you. You’ll be the friendly face that greets our clients and the behind-the-scenes hero who helps the team to keep clients’ books in top shape. This isn’t your average front desk job, we’re looking for someone who’s got real experience with bookkeeping and accounting software, and who’s just as comfortable juggling spreadsheets as they are managing calendars. Key Responsibilities
- Greet and assist clients and visitors in a warm, professional manner
- Answer and manage phone calls and emails with efficiency and professionalism
- Respond to inquiries and provide accurate information about the company’s services
- Manage mail, emails, deliveries and inventory
- Support the Health and Safety Committee as part of the office team
- Maintain a clean, organized and welcoming office environment
- Schedule client meetings, internal appointments, and calendar reminders
- Perform general administrative duties including data entry, filing, and receiving client payments
- Assist with bookkeeping tasks including bank reconciliations, payables/receivables, and journal entries
- Prepare and maintain client files and documentation
- Liaise with multiple office locations to support efficient day-to-day operations
Experience:
- Minimum 2-3 years' experience in an administrative or bookkeeping role within an accounting or professional services environment
- Proficient in QuickBooks (Desktop and Online), Xero, and Sage — must be comfortable working across multiple platforms
- Working knowledge of basic accounting principles and bookkeeping best practices
- Experience with CaseWare and TaxPrep software is a strong asset
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfortable with general office technology
- Ability to work both independently and as part of a collaborative team
- Positive attitude, problem-solving mindset, and a client-service focus
- Completion of a business administration, bookkeeping, or accounting certificate/diploma is preferred
