Job Full Description
The Executive Assistant will provide high-level administrative support to the Chief Executive Officer (CEO). This role is responsible for managing a wide range of administrative tasks, ensuring efficient daily operations, and handling confidential and sensitive information with discretion. The Executive Assistant will work closely with internal departments and external stakeholders, maintaining effective communication and coordination on behalf of the CEO.
Key Responsibilities:
Executive Support:
- Provide comprehensive day-to-day administrative support to the CEO
- Manage and prioritize the CEO’s calendar, including scheduling meetings and appointments
- Respond to and manage calls, messages, and correspondence for the CEO
- Coordinate the preparation and distribution of materials such as reports, memos, and correspondence
- Prepare meeting agendas, take minutes, document action items, and follow up as required
- Maintain an organized system for executive files and information, including legal and administrative documents
- Coordinate travel arrangements and itineraries
Stakeholder Coordination:
- Act as a point of contact between the CEO and external agencies and community partners
- Communicate on behalf of the CEO with internal and external stakeholders, ensuring professionalism and accuracy
- Coordinate information sharing between departments and track follow-up actions
Special Projects:
- Plan, coordinate, and assist in managing special projects as directed by the CEO
- Develop timelines and collaborate with staff to ensure project goals and deadlines are met
Administrative and Safety Responsibilities
- Track routine activities and ensure related documentation is up to date
- Establish a personal safety plan in coordination with the supervisor
- Contribute to maintaining a safe and secure environment for both staff and clients
Qualifications and Skills:
- 3–5 years of experience in an executive administrative support role, preferably in a non-profit, public sector, or similar setting
- Strong organizational skills and ability to manage multiple priorities
- Excellent verbal and written communication skills
- High level of discretion and ability to maintain confidentiality
- Proficient in Microsoft Office and other relevant administrative tools
- Demonstrated ability to work independently and use sound judgment
- Experience coordinating with diverse stakeholders and managing complex schedules
Additional Requirements:
- Successful completion of a Vulnerable Sector Check prior to employment
Wage: $29.50 - $36.00/Hour
