Job Full Description
Our client, a non-profit co-operative housing of 37 units, located in the East end near St-Laurent, is seeking a Part-Time Co-op Housing Coordinator to join their team on a permanent basis. Reporting to the Board of Directors, the Housing Coordinator is responsible for overseeing the day-to-day operations including finances, property maintenance programs, regulatory compliance, governance, and administration.
Duties may include, but are not limited to:
- Serving as the primary contact for member inquiries and concerns, responding in a timely manner
- Facilitating member engagement activities and supporting committees to execute activities and promote transparency and accountability in operations
- Ensuring new members have read and signed the Occupancy Agreement
- Maintaining accurate records of members, payments, and maintenance
- Ensuring compliance with housing legislation, municipal bylaws, and co-op policies
- Preparing reports for the Board and external stakeholders
- Managing all administrative procedures regarding new member move-ins including landlord references, receipt of first month’s housing charge, membership fee and deposits, key allocation, parking and insurance
- Assisting with funding applications and Rent-Geared-to-Income (RGI) subsidy calculations
- Developing annual operating and capital budgets that align with the co-op’s financial priorities in consultation with the Treasurer
- Advising and assisting the Board in establishing objectives, goals, by-laws, management procedures and other basic controls required for effective management and operation of the Co-op
- Implementing decisions made by the Board and supporting committee work
- Preparing monthly Board meeting packages and attending monthly meetings (as needed), and annual members’ meetings
- Overseeing the planning, co-ordination and execution of maintenance, repairs, and capital projects
- Ensuring buildings and grounds meet safety and cleanliness standards, per legislative standards
- Tendering and administering trade contracts in accordance with co-op policy
- Supervising all trade activities while on the co-op premises to ensure compliance with work ordered, in conjunction with maintenance contractors
- Ensuring appropriate emergency and routine maintenance programs are in place
Required skills and qualifications:
- Basic French skills are required – preference will be given to candidate that are fluently bilingual
- Post-secondary diploma or degree in Business Administration, Office Administration, or a related field, with a focus on office administrative practices
- Minimum 1 year of property management experience
- Previous Co-op experience is preferred
- Proficient with MS Office applications (Outlook, Word, Excel, OneDrive)
- Basic accounting / finance experience – expense management, procurement, and/or financial administration
- Ability to interact respectfully and inclusively with diverse populations with a non-judgmental approach
- Strong organizational skills with the ability to work independently and take initiative with minimal direction
- Must be comfortable with occasional evenings and weekends (on-call)
- Ability to maintain confidentiality and handle sensitive information with discretion
- Ability to wear multiple hats and prioritize tasks effectively in a dynamic environment
Starting Wage: $28.00 to $30.00 per hour based on experience.
Schedule: Monday, Wednesday, and Friday (average of 16 to 24 hours per week, up to 30 hours per week)
Hours: Start between 9:30am to 10:00am, and end between 3:30pm to 4:00pm
